How Can Researchers Make Participation More Accessible?

Research participation becomes more accessible when researchers examine what the study requires of participants and remove barriers that are not necessary to answer the research question. Accessibility can involve communication, disability accommodations, scheduling, location, technology, language, and participant burden.

01 · The Question

What If the Study, Rather Than the Participant, Is Creating the Barrier?

A person may be perfectly relevant to a research question and still be unable to participate. The consent form is difficult to understand. The research site has physical barriers. Interviews happen only during working hours. Participation requires a laptop and stable internet. Study visits are too long for someone with particular health or accessibility needs. Recruitment information is not available in a format the person can use.

It is easy to interpret these situations as characteristics of participants: they cannot travel, cannot use the technology, cannot complete the instrument, or cannot follow the procedure.

Accessibility asks researchers to examine the problem from the other direction. What demands has the study created, which of those demands are scientifically necessary, and which could be changed so that relevant people have a realistic opportunity to participate?

02 · The Short Answer

Accessible Research Reduces Barriers Without Changing What the Study Needs to Learn

In Brief

Researchers can make participation more accessible by identifying barriers across recruitment, consent, communication, location, scheduling, technology, study procedures, and measurement, then removing or accommodating barriers that are not essential to the scientific or ethical integrity of the study.

Accessibility does not mean that every procedure can be changed for every participant. Some requirements are integral to the research. The aim is to distinguish necessary demands from avoidable ones and design access prospectively rather than waiting until an eligible participant encounters a barrier.

03 · What You Need to Know

Accessibility Is a Property of the Research Design, Not Just the Participant

A useful way to think about accessibility is as the fit between what a person can reasonably do and what the research environment requires them to do. A barrier appears when those demands do not match.

Research on accessible study design has applied this reasoning specifically to participation by people with disabilities. Inaccessible recruitment materials, consent documents, interventions, research locations, and measurement procedures can implicitly exclude participants even when the protocol does not formally exclude them.

The same design logic can illuminate other participation barriers. Work schedules, caregiving responsibilities, transportation, language, technology access, and financial costs can all interact with study requirements.

Begin With the Entire Participation Journey

Accessibility starts before enrollment. A potential participant has to encounter the study, understand the invitation, determine whether participation is relevant, contact the research team, complete screening and consent, access the study procedures, remain involved, and communicate with researchers when questions or problems arise.

A barrier at any point can determine who ultimately gets included and who gets left out.

Researchers should therefore map the participant journey rather than concentrating accessibility efforts only on the physical research site.

Make Recruitment Materials Reachable and Understandable

Recruitment materials should be usable by the populations researchers reasonably expect to recruit. Depending on the study, that can involve readable language, accessible digital formats, appropriate font and document structure, alternative formats, translated materials, or recruitment through channels that actually reach relevant communities.

Accessibility also concerns where recruitment occurs. Advertising exclusively through a university portal, specialist clinic, social-media platform, or online registry can systematically miss people who do not use that channel.

No single recruitment method reaches everyone. The appropriate strategy depends on the target population and sampling design. Researchers should nevertheless ask whether the chosen channels create coverage gaps relevant to the study.

Use Plain Language Without Removing Necessary Information

Research information can become inaccessible because of technical vocabulary, long sentences, unexplained procedures, or documents written for researchers rather than participants.

Plain language aims to make information easier to find, understand, and use without removing information necessary for informed decision-making. For some populations, additional formats such as Easy Read materials, visual supports, audio information, or supported communication may also be useful.

Research focused on participation by adults with intellectual disabilities has recommended plain-language materials, simplified consent and assent processes, and universal supports and accommodations as ways of reducing barriers.

Accessibility should not be confused with oversimplifying the study or withholding relevant risks. The objective is comprehension.

Consent May Need an Accessible Process, Not Just an Accessible Form

Consent is a communication process. Making the document easier to read can help, but participants may also need additional time, alternative formats, opportunities to ask questions, communication support, or other procedures appropriate to their circumstances.

Researchers should avoid assuming that a disability, communication difference, or need for support automatically means that a person cannot provide informed consent. Capacity requirements and procedures depend on the study and applicable ethical and legal framework.

Where legally authorized representatives, assent, interpreters, or other consent arrangements may be relevant, researchers should plan them with the reviewing ethics body rather than improvising after recruitment begins.

Physical Accessibility Extends Beyond the Entrance

A building can have an accessible entrance while the research remains difficult or impossible to complete.

Researchers may need to consider accessible transportation routes, parking, elevators, toilets, examination equipment, seating, room layout, waiting periods, emergency procedures, and the physical demands of study tasks. The relevant requirements depend on the procedures and participant population.

Offering remote participation can remove some physical barriers, but it can create others. A video visit may be inaccessible to someone without stable internet, a suitable device, digital literacy, privacy at home, or a platform compatible with assistive technology.

Changing the location therefore changes the accessibility problem; it does not automatically solve it.

Scheduling Is an Accessibility Issue

Participation frequently competes with employment, education, caregiving, medical appointments, transportation schedules, and other responsibilities.

Research visits available only during weekday office hours can disproportionately burden people with inflexible employment or caregiving duties. Repeated visits, long sessions, or short scheduling windows can create similar barriers.

Where the protocol permits, evening or weekend options, flexible appointment windows, remote components, shorter visits, or combining procedures may make participation more feasible.

The National Academies has identified lengthy visits, requirements that cause participants to miss work, and long travel distances among barriers that research teams can consider when improving recruitment and retention.

Participant Costs Can Make a Study Inaccessible

Participation may generate expenses even when researchers charge participants nothing. Transportation, parking, childcare, meals, internet data, time away from paid work, and other costs can affect whether someone can afford to participate.

Reimbursement and compensation policies vary among studies, institutions, funders, jurisdictions, and ethics bodies. Researchers should verify applicable rules and distinguish reimbursement for reasonable participation expenses from compensation for participants' time and burden where those concepts are treated separately.

The methodological point is straightforward: if participating requires resources that some eligible people cannot afford, cost becomes a selection mechanism.

Language Accessibility Requires More Than Translation at Enrollment

If relevant participants use different languages, researchers should consider recruitment, consent, measurement, interviews, instructions, follow-up communication, and opportunities to ask questions.

Not every study can or should operate in every language. Some research questions or instruments require specific language capabilities. When language is not intrinsic to the phenomenon, however, researchers should examine whether language requirements unnecessarily exclude relevant populations.

Translation and interpretation also need to preserve the scientific requirements of the procedure. An ad hoc translation of a standardized instrument may change what it measures.

Technology Can Increase Access and Create New Exclusions

Online surveys, mobile apps, electronic consent, video interviews, wearable devices, and remote monitoring can reduce travel and expand geographic reach. They can also exclude people without appropriate devices, reliable connectivity, digital literacy, accessible software, or private spaces.

Researchers should therefore avoid assuming that digital equals accessible.

When technology is not itself the object of study, alternatives such as telephone participation, loaned devices, in-person options, technical support, or multiple modes of data collection may sometimes reduce barriers. Whether these alternatives preserve measurement comparability should be evaluated rather than assumed.

Universal Design, Accommodations, and Modifications Solve Different Problems

Accessible research design can be considered at several levels.

Universal design Designing procedures from the outset so that they can be used by as broad a range of participants as reasonably possible without requiring individual adaptation.
Accommodation or modification Adjusting a procedure or providing support for a participant when the standard design creates a barrier, while preserving the study's scientific and ethical requirements.

For example, readable electronic documents compatible with assistive technologies can benefit many participants from the beginning. A particular participant might additionally require a sign-language interpreter, additional breaks, or an alternative response method.

Prospective universal design can reduce the number of individual barriers researchers need to solve later, but it does not eliminate the need for accommodations.

Accommodations Should Not Quietly Change the Construct Being Measured

Accessibility and measurement validity sometimes pull in different directions.

Suppose a timed assessment is intended to measure reading speed. Extending the time limit changes an essential feature of the construct. In another study, a strict time limit may have nothing to do with the outcome and simply reflect how researchers happened to administer the questionnaire.

The distinction matters. Researchers should ask which features of a procedure are scientifically essential and which are incidental.

When an accommodation changes the mode of administration, wording, assistance, timing, or response format, consider whether the resulting measurement remains comparable for the intended analysis. Accessibility should be designed together with measurement, not treated as an afterthought.

Ask Participants and Communities What the Barriers Actually Are

Researchers do not need to predict every accessibility problem alone. Community engagement, advisory groups, patient or participant partners, pilot testing, and consultation with people who have relevant lived experience can identify barriers that are invisible to the research team.

The National Academies has emphasized community engagement and removal of study-level barriers as important facilitators of participation among populations historically underrepresented in clinical research.

This can also prevent well-intentioned accommodations from being designed around researchers' assumptions rather than participants' actual needs.

Accessibility Does Not Mean Removing Every Study Requirement

A study still needs methodological boundaries. Some tasks cannot be changed without altering the intervention, outcome, safety requirements, or research question.

The objective is not to make every study possible for every person. It is to distinguish necessary requirements from avoidable friction and to avoid excluding people simply because the default procedure was designed around one kind of participant.

Watch Out

Do not assume that offering an accommodation automatically preserves the scientific meaning of a procedure. Ask both questions: does the adaptation remove an unnecessary barrier, and does the resulting procedure still measure or deliver what the study requires?

04 · A Practical Example

How a Study Can Become More Accessible Without Changing Its Research Question

Hypothetical Example

A university study of students' experiences with academic advising

Researchers plan 60-minute interviews about students' experiences with academic advising. Their initial protocol requires participants to visit a campus office between 9:00 a.m. and 4:00 p.m., read a dense electronic consent form, and complete the interview face-to-face.

Scientific requirement Researchers need informed consent and a sufficiently rich interview about advising experiences.
Incidental requirements The research question does not require interviews to occur during office hours, in one particular room, or exclusively face-to-face.
Accessibility review Students with employment, caregiving duties, mobility barriers, or long commutes may find the original procedure difficult to complete.
Redesign The researchers add evening appointments, offer an accessible video option, revise participant information into clearer language, check digital materials for accessibility, and allow breaks when needed.
Scientific check The team determines whether interview mode could influence responses and plans to document mode of participation and administer the core interview consistently.
Result More students can realistically participate without changing the substantive question the interviews are designed to answer.

The redesign does not make the study universally accessible. It removes barriers that were consequences of the original logistics rather than requirements of the research question.

Common Mistakes When Trying to Make Research Accessible

Misconception

Accessibility Means Lowering Scientific Standards

No. Many barriers arise from logistics, communication, environment, or default procedures rather than scientific necessities. The task is to identify which features must remain standardized and which can be changed without compromising the research.

Misconception

Online Participation Is Automatically Accessible

Remote participation can remove travel barriers while creating barriers related to devices, connectivity, digital literacy, privacy, platform accessibility, or assistive technology. Accessibility depends on the participant and procedure, not simply whether the study is online.

Misconception

Accessibility Only Concerns People With Disabilities

Disability access is an essential part of accessible research, but barriers can also arise from language, transportation, work schedules, caregiving, technology, cost, literacy, geography, and other circumstances.

Misconception

Eligible Participants Will Ask for Accommodations if They Need Them

People cannot request options they do not know exist, and some may leave the recruitment process before contacting the research team. Accessibility information and procedures should therefore be considered prospectively rather than relying entirely on individual requests.

One Accessible Format Works for Everyone

Participants have different communication, sensory, cognitive, physical, technological, and linguistic needs. Universal design can broaden access, but individual accommodations or alternative modes may still be necessary.

06 · What This Means for You

Audit What Your Study Asks Participants to Do

Before recruitment begins, walk through the study as though you were a participant. At every stage, distinguish the requirement needed to answer the research question from the particular way the research team initially planned to implement it.

A simple decision framework

If a requirement is essential to the research question, safety, intervention, or measurement
Keep it, explain why it is necessary, and determine whether participants can be supported in meeting it.
If a requirement exists mainly because it is convenient for the research team
Consider alternative locations, schedules, modes, formats, or procedures that preserve the scientific objective.
If an accommodation changes how a measure or intervention is delivered
Assess whether the change affects validity, comparability, fidelity, or interpretation and plan the analysis or documentation accordingly.
If you do not know which barriers participants may encounter
Pilot the procedures and involve people from the relevant population in identifying access problems before full recruitment.
If a barrier cannot reasonably be removed
Recognize who may consequently be excluded and account for that limitation when interpreting the study.

This review also helps distinguish accessibility problems from formal eligibility. A participant may satisfy every inclusion criterion yet still be unable to complete the study because of procedures that unintentionally create exclusion.

When important populations remain difficult to recruit even after obvious barriers are addressed, investigate the reason rather than assuming that accessibility is solved. Trust, recruitment reach, gatekeeping, historical relationships with research institutions, and other factors may require different responses.

07 · A Quick Checklist

Before Recruitment Begins, Test the Accessibility of the Study

Before inviting participants, check:
Review whether recruitment materials can be found, read, understood, and used by the populations you reasonably expect to reach.
Use clear participant-facing language and identify when alternative formats or communication supports may be needed.
Check physical locations, equipment, digital platforms, documents, and study tasks for accessibility barriers relevant to the population.
Examine whether scheduling and visit length unnecessarily exclude people with employment, education, caregiving, health, or transportation constraints.
Consider direct and indirect participant costs, including travel, parking, connectivity, childcare, and time away from work where relevant.
Plan appropriate language access for recruitment, consent, study procedures, and participant communication when relevant.
Determine what accommodations or alternative participation modes can be offered without compromising safety or scientific validity.
Verify ethics, institutional, legal, funder, and accessibility requirements that apply to the study.
Pilot important procedures with people who can identify barriers the research team may have overlooked.
Document consequential accessibility limitations when they cannot be removed.

Questions About Accessible Research Participation

What does accessible research participation mean?

It means designing recruitment and study procedures so that avoidable environmental, communication, technological, physical, linguistic, scheduling, or other barriers do not unnecessarily prevent relevant people from participating.

Does accessibility mean everyone must be able to participate?

No. Studies can have legitimate scientific, ethical, safety, and measurement requirements that some people cannot meet. Accessibility concerns removing barriers that are not necessary to those requirements and accurately defining the resulting study population.

How can I make informed consent more accessible?

Use understandable participant-facing language and consider appropriate alternative formats, communication supports, additional time, or other procedures based on the population and study. Any consent process must still provide the information required by the applicable ethical and regulatory framework.

Is remote research more accessible than in-person research?

It can be for some participants because it reduces travel and geographic barriers. Should participants have to request accessibility accommodations?

Researchers should provide a clear way to request individual support, but accessibility should not depend entirely on participants identifying and negotiating every barrier themselves. Prospective accessible design can remove many barriers before an accommodation is requested.

Can improving accessibility help with underrepresentation?

Yes, when inaccessible procedures contribute to low participation. Accessibility will not solve every cause of underrepresentation, but removing avoidable barriers can give relevant populations a more realistic opportunity to participate.

Researchers can make participation more accessible by examining every demand placed on participants and redesigning recruitment, communication, consent, location, scheduling, technology, and study procedures when those demands create avoidable barriers rather than serving an essential scientific or ethical purpose.

Accessibility is not the removal of every boundary, nor should accommodations compromise what a study needs to measure. The practical goal is to stop incidental features of the research process from deciding who gets to contribute to the evidence.
