What Is a Case Study, and Why Is Studying One Case Not Automatically a Case Study?

Case study research investigates a clearly bounded case in depth and in relation to its real-world context. Studying one person, classroom, institution, event, or site does not automatically make a project a case study because the design depends on how the case is defined and investigated.

01 · The Question

If You Study Only One Person, School, Organization, or Event, Is That a Case Study?

You interview one teacher. You investigate one university. You observe one classroom. You analyze one program. Because there is only one of something, it may seem natural to describe the project as a case study.

That reasoning is incomplete.

A case study is not defined simply by having a sample size of one, collecting data at one location, or focusing on one organization. The researcher must identify what the case actually is, establish defensible boundaries around it, and investigate it in sufficient depth and context for the case itself to organize the inquiry.

This distinction matters because “case study” is a research design or methodological strategy, not a convenient synonym for “I studied one example.”

02 · The Short Answer

A Case Study Is Defined by the Case and the Logic of Inquiry, Not by the Number One

In Brief

Case study research is an in-depth investigation of a clearly defined, bounded case in its real-world context. Studying one person, organization, classroom, event, program, or location does not automatically constitute a case study unless that entity is meaningfully defined as the case and the research is designed to understand it as a bounded, contextualized whole.

Case study traditions differ in their philosophical and methodological details, but defining and bounding the case is fundamental. Researchers should be able to explain what the case is, what it is a case of, where its boundaries lie, why it was selected, and how the evidence will support an in-depth understanding of it.

03 · What You Need to Know

The Case Must Be More Than a Convenient Unit of Data Collection

What Exactly Is a “Case”?

A case is the bounded entity or system around which the inquiry is organized. Depending on the research problem and methodological tradition, a case might be an individual, classroom, school, organization, program, community, event, process, project, policy implementation, or another identifiable phenomenon that can be meaningfully bounded.

The important phrase is meaningfully bounded. Researchers need to establish what falls inside and outside the case. Boundaries may involve place, time, organizational membership, activity, event, program participation, or another theoretically and practically defensible limit.

For example, “online learning” is probably too broad to function as a case by itself. “The implementation of a newly introduced hybrid-learning program in one university during its first academic year” is more readily bounded. The institution, implementation process, period, participants, and contextual conditions can be specified.

Case study methodology has several traditions, and scholars do not define every feature identically. Still, the concept of a bounded case and close attention to context recur across prominent approaches. Methodological literature also emphasizes that poorly defining the case can undermine the coherence of the entire study.

Studying One Participant Is Not Automatically a Case Study

Suppose a researcher interviews one university professor about experiences using generative AI in teaching. The fact that there is one participant does not establish a case study.

The project might simply be a single interview used for exploratory purposes. It could be a biographical or narrative inquiry if the research question and analytical approach concern the person's story. It might be part of another qualitative design. Calling it a case study requires methodological justification beyond the sample size.

If the professor is genuinely treated as a bounded case, the researcher would need to explain why that particular case matters, what the boundaries are, which contextual features are relevant, and how the inquiry will develop an in-depth understanding of the case rather than merely summarize one interview.

One participant A statement about sample size or the number of people providing data.
One case A statement about the bounded unit around which the research inquiry and analysis are organized.

Studying One Site Is Not Automatically a Case Study Either

A similar problem occurs when researchers equate one research site with one case. Imagine administering a questionnaire to 600 students at a single university to estimate their use of generative AI.

That is a single-site study. It is not automatically a case study. If the university merely provides access to the participants and the research question concerns student-level variables rather than the university as a bounded case, the site may be a setting rather than the unit of analysis.

By contrast, if the purpose is to understand how that particular university introduced, governed, and experienced institution-wide generative AI adoption, with the university functioning as the bounded unit of inquiry, a case study design may be appropriate.

This distinction becomes especially important when deciding whether studying one or several settings actually changes the evidence. The number of sites and the number of cases are related in some projects, but they are not synonymous.

The Unit of Analysis Helps Reveal Whether You Actually Have a Case

Ask: What exactly am I trying to understand as a whole?

If the answer is a particular school, implementation, program, organization, community, event, or person in context, that entity may be the case. If the answer is instead a relationship between variables measured from individuals who happen to be located at one institution, the institution may simply be the research setting.

This is why methodological discussions of case study research often emphasize the unit of analysis. The case should be connected to the research question, not identified after data collection simply because one convenient site was available.

Bounding the Case Prevents the Study From Becoming Everything About Everything

Once you identify a possible case, determine its boundaries. Without boundaries, an apparently focused project can expand indefinitely.

Consider the case “University A's transition to online learning.” When does the transition begin and end? Does the case include every college? Students and faculty? Administrators? External technology providers? Institutional policies before the transition? Events occurring years afterward?

There is no universal boundary that must be used. The boundaries should follow the research question and conceptualization of the case. What matters is that they are explicit and defensible.

Place boundary The case may be limited to one institution, department, community, classroom, or other defined setting.
Time boundary The inquiry may cover a specific implementation period, academic year, event, project cycle, or another meaningful interval.
Activity or process boundary The case may concern a particular program, intervention, decision process, reform, or organizational activity rather than everything occurring in the setting.
Participant boundary The study may define which actors belong to the case and whose experiences provide relevant evidence about it.

Clear boundaries improve feasibility, but their purpose is not merely administrative. They define what the case actually is. Methodological work on case study research accordingly stresses bounding cases by parameters such as time and place.

Context Is Not Background Decoration

Case study research is particularly useful when understanding the phenomenon requires understanding its real-world context. The relationship between case and context is therefore substantive rather than ornamental.

Suppose two universities introduce the same learning analytics system but experience very different outcomes. Staffing, governance, infrastructure, institutional culture, training, implementation decisions, student characteristics, and prior technology practices may help explain why. A case study can investigate how those contextual conditions interact with the phenomenon of interest.

This contextual orientation is one reason case study research is often appropriate for complex “how” and “why” questions in real-world settings.

Case Studies Commonly Draw on Multiple Sources of Evidence

In-depth understanding usually benefits from evidence that illuminates different aspects of the case. Depending on the question, researchers might use interviews, observations, documents, archival records, artifacts, audiovisual materials, administrative data, or other relevant sources.

Multiple sources can help researchers examine the case from different vantage points and investigate whether interpretations are supported across different forms of evidence. This is more than collecting extra data for appearance's sake. Each source should contribute to understanding the case and the research question.

Some methodological traditions place particularly strong emphasis on multiple sources and their convergence. Contemporary methodological discussions likewise identify in-depth data collection using multiple forms of information as a characteristic of case study research.

Watch Out

Do not manufacture methodological complexity merely to earn the label “case study.” Multiple data sources are useful when they deepen understanding of the bounded case. Adding an irrelevant document, an unnecessary observation, or another interview does not compensate for an unclear research question or poorly defined case.

A Case Study Can Contain More Than One Unit of Data Collection

A single case does not mean one participant, one interview, or one dataset. A case such as a university program could contain dozens of participants, several departments, documents, observations, and quantitative records.

Researchers may also distinguish between holistic and embedded case designs. In an embedded design, a broader case contains meaningful subunits that receive analytical attention. For example, an institutional program may constitute the overall case while departments or implementation teams function as embedded units.

The boundaries of the overall case still matter. Otherwise, the project can fragment into several disconnected studies that happen to share a title.

Case Study Research Is Not Necessarily Synonymous With Qualitative Research

Case study is strongly associated with qualitative inquiry, and some methodological traditions explicitly conceptualize it as a qualitative approach. Other influential traditions treat case study more broadly as a research strategy that can incorporate qualitative and quantitative evidence.

It is therefore safer to describe what evidence is used and how it contributes to understanding the case rather than assuming that the term “case study” itself communicates the entire methodological orientation.

If qualitative and quantitative evidence are both included, that does not automatically make the project mixed methods either. Whether a project constitutes genuine mixed methods research depends on how the qualitative and quantitative components are designed and integrated, not simply on the presence of two kinds of data.

Single-Case and Multiple-Case Studies Answer Different Design Needs

A case study may investigate one case intensively or examine multiple cases. A single case may be appropriate when the case is unusually informative, theoretically important, revelatory, critical to a proposition, or intrinsically important to the research problem, depending on the methodological tradition.

Multiple-case research allows researchers to examine patterns of similarity and difference across cases. The logic is not simply “more cases equals better research.” Each case requires sufficient depth, and the rationale for selecting cases should follow the study's analytical purpose.

Adding cases can therefore increase both analytical possibilities and methodological demands. The broader principle remains the same: a more complex design should provide information that justifies the added work.

04 · A Practical Example

One University Can Be a Site or a Case

Hypothetical Example

Studying generative AI at one university

Two researchers conduct studies at the same university. Both describe their projects initially as studies of “generative AI use at University A.” Despite the identical setting, only one project is designed around the university as a case.

Study A: One site, but not necessarily a case study The researcher surveys 800 students once to examine whether frequency of generative AI use is associated with academic self-efficacy. The university provides the sampling location, but the analysis concerns relationships among student-level variables.
Study B: Case study The researcher investigates how University A developed and implemented its institutional approach to generative AI during the first two academic years after adoption. The university's implementation is explicitly bounded by institution, process, and period.
Evidence in Study B The researcher interviews administrators, faculty members, and students; examines institutional policies and training materials; observes relevant implementation activities; and analyzes other evidence needed to understand how the institutional response developed.
Interpretation Study B is organized around an in-depth, contextualized understanding of a bounded case. Study A happens to occur at one institution, but the institution itself is not necessarily the object of case study inquiry.

The number of universities is identical. What differs is the logic of the research design. This is why “one site” cannot serve as a methodological shortcut for “case study.”

05 · What Researchers Often Get Wrong

Common Misunderstandings About Case Study Research

Misconception

Does N = 1 Automatically Mean Case Study?

No. A sample containing one participant tells you how many participants were studied. It does not identify the methodological design. The researcher still needs to demonstrate that the participant constitutes a meaningful bounded case and that the inquiry is designed to understand that case in depth and context.

Misconception

Does Conducting Research at One Institution Make It a Case Study?

No. One institution may simply be the study site. If researchers collect individual-level data there to answer questions that do not treat the institution as a bounded case, “single-site study” may be a more accurate description.

Misconception

Is a Case Study Just a Long Description?

No. Rich description may be important, but case study research requires a coherent research question, defined case, explicit boundaries, systematic evidence collection, and an analytical strategy. Length and detail alone do not constitute methodology.

Misconception

Must a Case Study Use Interviews?

No. Interviews are common, but the appropriate sources depend on the case and research question. Observations, documents, records, artifacts, quantitative data, and other evidence may be relevant. The methodological question is what evidence is needed to understand the case credibly.

Misconception

Must a Case Study Be Qualitative?

Not under every case study tradition. Some approaches conceptualize case study primarily as qualitative inquiry, while others permit qualitative and quantitative evidence within the case study strategy. Researchers should identify the methodological tradition they are using and explain how their evidence and analysis fit it.

Misconception

Can a Case Study Have More Than One Case?

Yes. Multiple-case designs examine two or more bounded cases. The cases should be selected for an analytical reason, not merely added to increase sample size, and each case must remain sufficiently defined to permit meaningful within-case and, when appropriate, cross-case analysis.

06 · What This Means for You

Decide Whether the Case Itself Is What You Need to Understand

Before labeling your research a case study, try to complete one sentence: “The case in this study is...”

If that sentence is difficult to finish precisely, the case probably needs further conceptual work.

A simple decision framework

If your research seeks an in-depth understanding of a specific bounded entity, process, program, event, organization, or other case in context
Case study research may be an appropriate design.
If one institution merely provides access to participants
Describe it as the research site unless the institution itself is genuinely the bounded case being investigated.
If you have one participant only because recruitment was limited
Do not relabel the project as a case study merely to rationalize the sample size. Determine which design actually fits the research question and evidence.
If understanding the phenomenon requires several perspectives and forms of contextual evidence
Consider whether an in-depth case study can integrate those sources around a clearly bounded unit of analysis.
If your real objective is to understand lived experience, culture, theory development, or stories rather than the bounded case itself
Consider whether another qualitative approach is conceptually better aligned with the question.

That final distinction is especially important. A bounded organization could potentially be studied through a case study, while researchers working in the same organization might instead pursue phenomenology, ethnography, grounded theory, or narrative inquiry depending on what they want to understand. The purpose of the inquiry should determine the qualitative approach, not the fact that participants happen to share a setting.

Once case study is justified, state the case and its boundaries explicitly in the methodology. Explain the rationale for selecting it, identify the sources of evidence, describe how those sources relate to the research question, and specify how analysis will produce an integrated understanding of the case.

07 · A Quick Checklist

Before Calling Your Research a Case Study

Before using the case study label, check:
Complete the sentence “The case in this study is...” with a precise and defensible answer.
Explain what the case is a case of and why studying this particular case can answer the research question.
Define what falls inside and outside the case using meaningful boundaries such as time, place, activity, process, organization, or participation.
Distinguish the case itself from the research site, participants, data sources, and any embedded units within the case.
Verify that the research question genuinely requires in-depth understanding of the case in context.
Select evidence because it illuminates the case, not merely to create an impressive list of data sources.
Identify the case study methodological tradition informing your design and use its terminology consistently.
If several cases are included, explain the analytical rationale for case selection and how within-case and cross-case analysis will be handled.
08 · Frequently Asked Questions

Questions Researchers Ask About Case Study Research

Can one person be a case study?

Yes, if the individual constitutes a meaningful bounded case and the research is designed to understand that case in depth and context. One participant alone, however, does not automatically make the research a case study.

Can one school or university be a case study?

Yes. An institution can function as a bounded case when the inquiry seeks an in-depth understanding of that institution, a defined phenomenon within it, or a bounded process associated with it. If the institution merely provides the location from which participants are recruited, it may be a site rather than the case.

Can a case study include hundreds of participants?

Potentially. The number of participants does not define the number of cases. One organizational case, for example, may contain many participants and several sources of evidence. What matters is the unit around which the inquiry is organized.

Can a case study use surveys or quantitative data?

Under methodological traditions that permit quantitative evidence, yes. Survey results, administrative records, performance indicators, or other quantitative information may contribute to understanding the case. Their presence does not by itself make the design mixed methods.

What is the difference between a case and a research site?

A site is where research occurs. A case is the bounded unit the research seeks to understand. They can coincide, but they do not have to. A university may be only the location for participant recruitment, or the university itself may be the case depending on the research question and design.

How do I know whether my case is sufficiently bounded?

You should be able to explain what belongs to the case, what does not, when and where the case exists for purposes of the study, and why those boundaries follow from the research question. If virtually anything related to the topic could be included, the case is probably still too broad.

Is a case study appropriate when I want to generalize to a population?

Case studies are generally not designed for statistical generalization from a probability sample to a population. Depending on the methodological tradition, researchers may instead consider theoretical, analytical, conceptual, or transferable insights. Claims beyond the case should therefore follow the logic of the chosen methodology rather than population-sampling language that the design cannot support.

What is the difference between a single-case and a multiple-case study?

A single-case design investigates one bounded case, while a multiple-case design investigates two or more cases using a coherent case selection and analytical strategy. Multiple cases can support comparison and examination of recurring or contrasting patterns, but they also require sufficient depth within each case.

A Case Study Is Defined by the Logic of the Case, Not the Number of Participants

The Bottom Line

Case study research investigates a clearly defined and bounded case in depth and in relation to its real-world context; simply studying one participant, one institution, one classroom, or one site does not automatically make a study a case study.

Before using the label, identify what the case actually is, establish its boundaries, distinguish it from the site and data sources, and determine whether an in-depth contextualized understanding of that case is genuinely what your research question requires.
