Reference Managers Can Format Metadata, but They Cannot Guarantee Its Accuracy
Bibliographic metadata are structured information describing a scholarly or other research output. For a journal article, these commonly include the title, authors, journal, publication date, volume, issue, pages or article number, and DOI where available. A book may instead require authors or editors, title, edition, publisher, date, ISBN, and other relevant information. Conference papers, reports, datasets, theses, webpages, and other source types have their own metadata structures.
Your reference manager uses these fields to construct citations according to a citation style. If the stored information says that the author's surname is “John” when it should be “Johnson,” the citation processor has no independent basis for deciding that the value is wrong.
This leads to a useful distinction.
Metadata problem
The bibliographic information stored in the reference record is incorrect, incomplete, or represented in the wrong field.
Citation-formatting problem
The underlying metadata are correct, but the citation or bibliography does not render them as expected under the selected citation style.
Diagnosing which problem you have should come before trying to fix the output.
First determine what is actually wrong
A suspicious bibliography entry does not automatically mean that the imported metadata are incorrect.
Suppose a journal title appears abbreviated. That could reflect the citation style rather than the stored journal title. An author's given name might appear only as an initial because the style requires initials. A DOI might be displayed as a URL because that is how the style formats it.
Before editing the library record, inspect the actual metadata fields in your reference manager. If those fields accurately describe the source, investigate the citation style or software behavior instead.
If the underlying fields themselves are wrong, then you have a metadata problem.
Verify against the work and an authoritative bibliographic source
When correcting a record, use evidence rather than guessing what a field probably should contain.
For a journal article, the publisher's official article page or version of record is often a strong starting point. For Crossref-registered content, a DOI can also be used to retrieve metadata deposited with Crossref. Crossref explains that its metadata come primarily from deposits made by its members, including information about the work, its publication, contributors, and relationships to other research outputs.
Crossref Metadata Search can be searched using information such as a title, author, or DOI. Its REST API also supports retrieval of a single metadata record by DOI. These facilities can be particularly useful when checking whether a DOI corresponds to the work in your library.
Other authoritative sources may be more appropriate for particular materials. PubMed can be useful for biomedical literature indexed there. An official institutional repository may be appropriate for a thesis. A book publisher or library catalog can help verify book information. The issuing organization is usually preferable when checking an official report or standard.
No single metadata service should be treated as universally authoritative for every source type.
A DOI is powerful evidence, but it does not make every other field infallible
A DOI is a persistent identifier associated with a particular research object. When you have a DOI, resolving it can help confirm that you are looking at the intended work, and Crossref provides metadata retrieval for works registered through its infrastructure.
That makes the DOI extremely useful for verifying identity and retrieving bibliographic information. It does not mean every metadata field found in every DOI-derived record must be treated as unquestionable.
Crossref's metadata are supplied largely through member deposits, and the completeness of metadata varies by record type and by what was deposited. Crossref itself distinguishes required, recommended, and optional metadata elements. For journal articles, for example, titles, publication year, and DOI data are required for article deposits, while contributor information and several other elements are recommended rather than universally required.
When an important field is missing or conflicts with the version of record, investigate the discrepancy rather than mechanically replacing one value with another.
Check the item type before correcting individual fields
Sometimes the apparent metadata errors are symptoms of a more fundamental problem: the source has been classified as the wrong type of item.
A book chapter stored as a book, a conference paper stored as a journal article, or a report stored as a generic webpage may expose the wrong bibliographic fields or cause the citation style to format the source incorrectly.
Before repairing ten individual fields, ask whether the reference manager knows what kind of source it is dealing with.

The exact fields required in the final citation depend on the source and citation style. The purpose of checking metadata is not to fill every field available in the software. It is to represent the source correctly.
Author names deserve particular attention
Creator metadata are easy to overlook because a reference can look approximately correct even when author information has been imported badly.
Check whether personal names have been separated correctly into given and family names. Watch for initials stored as surnames, particles handled incorrectly, organizational authors treated as personal names, suffixes placed in the wrong field, and names missing from a long author list.
These errors can affect both the bibliography and in-text citations. Depending on the citation style, incorrect creator metadata may alter author ordering, initials, shortened citations, or disambiguation between works.
Do not “correct” a researcher's name merely because its spelling or structure looks unfamiliar. Verify it against the publication or another authoritative source.
Titles should describe the source, not imitate the citation style
The metadata record should generally preserve the bibliographic title of the work rather than manually formatting it to resemble a finished reference.
For example, do not add quotation marks around an article title merely because a particular style displays titles that way. Do not manually italicize a journal title in a plain metadata field because the bibliography eventually requires italics. Those presentation decisions belong to the citation style.
Capitalization can be more complicated because styles differ in how they transform titles, and software needs appropriate metadata to perform those transformations reliably. If imported capitalization is obviously distorted, compare it with the authoritative title and follow your reference manager's guidance for title data rather than manually redesigning the final citation inside the metadata field.
Do not overlook pages and article numbers
Many contemporary journal articles use article numbers instead of traditional page ranges. Other publications may use electronic locators or other numbering systems.
Do not invent a page range simply because an older citation example contains one. Record the publication information that actually identifies the article and use the fields supported by your reference manager and citation style.
Likewise, a PDF may display internal page numbers that are not the bibliographic page range of the published article. Verify publication pagination from the official record rather than assuming that the PDF viewer's page count belongs in the citation.
Check the DOI itself, not merely whether a DOI field is populated
A DOI field containing something that looks like a DOI is not enough. It should identify the work you are citing.
Copying metadata from another source, importing malformed records, or combining duplicate references can occasionally leave an incorrect identifier attached to a record. Resolve the DOI and confirm that it points to the intended work.
If you need to distinguish DOIs from other identifiers, understanding which research identifiers actually matter can help you decide what belongs in each field.
Importing metadata from a PDF can require more scrutiny
A PDF is primarily a document, not necessarily a complete bibliographic record.
Reference managers may attempt to identify a PDF and retrieve or extract metadata, but the result depends on what information is available and whether the work can be matched reliably. A publisher or database record with structured bibliographic metadata may therefore provide a better starting point than a standalone PDF.
This is one reason the decision to attach PDFs to your reference manager should remain conceptually separate from the quality of the bibliographic record. Having the correct PDF does not guarantee that the associated metadata are correct.
Correct the library record rather than the bibliography text
Suppose your bibliography displays the wrong publication year because your reference manager contains the wrong year.
You could manually change the year in Word. The bibliography would look correct for the moment, but the library would remain wrong. The next time the bibliography refreshes, the incorrect value may return. Another manuscript using the same record may inherit the same error.
The durable fix is to correct the underlying bibliographic item.
Zotero allows item metadata to be edited in the library. When item data such as the title, author, or date are changed, Zotero states that linked citations in a word processor will reflect those changes when the document is refreshed.
The same general principle applies regardless of reference manager: maintain the authoritative bibliographic information in the reference database and allow citation tools to generate output from that record.
Watch Out
Avoid manually correcting automatically generated citations or bibliography entries as your primary solution to bad metadata. Direct edits can be overwritten by later updates, and some citation systems may stop automatically updating a citation after manual modification. Fix the library record first, then refresh the document.
Do not automatically replace a good record with newly retrieved metadata
Automated retrieval can be useful when a record is incomplete, but newer or more complete-looking metadata are not necessarily better in every field.
You may already have corrected author names, added the proper item type, maintained useful notes, attached files, assigned tags, and organized the record across projects. Deleting it and importing a fresh copy can create a duplicate while discarding work you have already done.
When possible, correct or update the existing record deliberately. If you do import another version for comparison, resolve the resulting duplication carefully rather than leaving parallel records in the library. A disciplined approach to preventing duplicate references becomes particularly important when repairing metadata this way.
Sometimes the authoritative sources disagree
Metadata conflicts are not always user error.
The publisher page, PDF, Crossref record, indexing database, and library catalog may occasionally disagree about dates, capitalization, author presentation, pagination, or other details. Online-first publication can also produce more than one meaningful date. Corrections and updated metadata can complicate the picture further.
When sources conflict, determine what each date or field represents rather than choosing whichever value appears most often. Give particular weight to the version of record and the organization responsible for the publication. If the citation style or journal provides specific instructions for handling the situation, follow those instructions.
Metadata verification therefore requires a small amount of bibliographic judgment. The objective is not to make every database agree. It is to represent the work accurately for identification and citation.
A correct-looking bibliography still deserves a final check
Repairing the library record solves one layer of the problem. It does not prove that every citation is now correct.
The selected citation style may have its own requirements. A field may be correct but mapped unexpectedly. A manually modified citation may no longer update. A duplicate record may still exist elsewhere in the document.
Before submission, you should therefore check the bibliography produced by your reference manager against the relevant citation or journal requirements.
