When Is a Theme Really a Theme?
You have read the literature and need to organize it. Perhaps several ideas seem to recur, so you create headings such as “Benefits,” “Challenges,” and “Other Factors.” Then you begin placing papers beneath them. Some fit comfortably. Others fit only partly. A few could go almost anywhere.
This is where thematic organization can become deceptive. A tidy set of headings may look analytical while actually reflecting categories chosen for convenience rather than meaningful patterns in the evidence.
The challenge is not simply to find labels that accommodate your papers. It is to identify recurring relationships, concepts, explanations, conditions, or tensions that help you answer the review question while preserving important differences among the studies.
03 · What You Need to Know
A Theme Is More Than a Topic That Appears Several Times
Begin by distinguishing topics from themes
A topic tells you what a group of studies discusses. A theme should tell you something more analytically useful about what is happening across that literature.
Suppose several studies examine “student motivation.” Calling your section “Student Motivation” may be perfectly appropriate as an organizational heading, but the label itself does not identify a pattern. The evidence might instead suggest that autonomy is associated with motivation only under particular instructional conditions, that motivational effects differ according to assessment design, or that students and instructors conceptualize motivation differently.
Those propositions begin to express relationships within the literature rather than simply naming its subject matter.

Interaction appears more strongly related to engagement when students perceive it as purposeful rather than as a participation requirement.
Do not assign whole papers to themes too early
One reason researchers struggle with thematic organization is that they try to classify entire articles: Paper A belongs under Theme 1, Paper B belongs under Theme 2, and so forth.
Studies are rarely that cooperative. One paper may contain evidence relevant to several issues. Its findings may support one pattern while its methodological limitations contribute to another. Treating the study as the indivisible unit of classification can therefore conceal useful connections.
Instead, compare the relevant findings, concepts, methodological characteristics, explanations, or other evidence extracted from each study. In formal evidence synthesis, this principle becomes methodological rather than merely organizational. Cochrane guidance, for example, recommends examining study characteristics and determining which studies can legitimately be grouped for particular syntheses.
Let the review question determine which patterns matter
The same collection of studies can support different thematic structures because themes are identified in relation to a purpose.
Imagine a literature containing studies of university students' use of generative AI. A review concerned with academic integrity might identify patterns around disclosure, unauthorized assistance, authorship, and assessment conditions. A review concerned with learning might instead focus on cognitive support, feedback, dependency, self-regulation, or differences among learning tasks.
Neither structure is automatically more correct. The relevant question is whether the themes capture patterns that matter for the question being asked.
Compare evidence across studies before naming the themes
A useful way to avoid premature categories is to delay polished theme names. First record what appears to recur across studies in ordinary analytical language.
You might notice that several studies report a similar outcome only in highly structured settings. Another cluster may suggest that participants value an intervention even when measured outcomes do not improve. A third may reveal that findings depend heavily on how a construct is operationalized.
At this stage, provisional descriptions are often more useful than elegant labels. The name can come later, once you understand what the pattern actually represents. Academic headings have survived many years without needing to be clever.
Look for relationships, not just repetition
Frequency can help you notice a possible pattern, but a theme need not be the idea mentioned by the largest number of studies. An infrequent finding may be analytically important if it challenges an apparent consensus or identifies a condition under which the dominant pattern changes.
Ask what kind of relationship you are observing. Do several studies converge? Does one subset differ systematically from another? Does a methodological distinction correspond with different findings? Does qualitative evidence explain variation in quantitative results? Are apparently similar studies actually conceptualizing the phenomenon differently?
Negative cases are part of the theme
Suppose most studies suggest that peer interaction supports persistence, but two studies find no such relationship. It would be easy to construct a theme called “Peer Interaction Improves Persistence” and treat the two studies as inconvenient exceptions.
A stronger analysis asks whether those exceptions change the theme itself. Perhaps interaction matters only when it involves substantive academic support. Perhaps the studies measured interaction differently. Perhaps the evidence is simply inconsistent.
The theme should be revised until it represents the evidence more faithfully. A qualified pattern is usually more informative than an artificially clean one.
Watch Out
If a theme works only after contradictory findings, inconvenient populations, or methodological differences are removed from view, the category may be describing the story you want to tell rather than the literature you actually have.
Formal thematic synthesis is more than ordinary thematic organization
In an ordinary literature review, researchers often use “themes” relatively broadly to organize ideas across sources. Formal thematic synthesis, particularly in systematic reviews of qualitative evidence, refers to a more explicit analytical methodology.
Thomas and Harden's influential approach to thematic synthesis describes three stages: line-by-line coding of study findings, development of descriptive themes, and generation of analytical themes that move beyond the content of the primary studies. Their method illustrates an important principle even when you are not conducting that particular form of systematic review: analytical themes should arise through systematic engagement with the evidence rather than being invented merely as headings.
Themes can overlap
Researchers sometimes assume that a good thematic structure requires mutually exclusive categories. That may be appropriate for some classification tasks, but it is not a general requirement for literature synthesis.
For example, “instructor support” might interact with “student self-regulation.” A study examining both may legitimately contribute to both discussions. Trying to assign it permanently to one category could make the relationships among the themes harder to see.
Theme boundaries should remain revisable
Themes are provisional analytical constructions. As you compare additional evidence, two themes may turn out to represent the same underlying pattern. One broad theme may need to be divided. Another may disappear because the apparent pattern depended on only one or two studies.
Revision is not evidence that the analysis failed. It is part of the analytical process.
04 · A Practical Example
From Convenient Categories to Evidence-Based Themes
Hypothetical Example
Studies of recorded lectures in university courses
Imagine reviewing eight hypothetical studies of lecture recordings. Your initial notes mention flexibility, examination performance, attendance, revision, accessibility, convenience, playback behavior, and students' perceptions.
The first attempt: sorting by obvious topics
You initially create three categories: “Advantages,” “Disadvantages,” and “Student Perceptions.” The papers can be distributed among them, but the categories do little to explain why findings differ. Several studies also belong in all three.
Compare the findings instead
Observation Students consistently value recordings for flexibility, but performance improvements are inconsistent.
Comparison Positive performance findings occur mainly where students use recordings selectively for revision rather than as substitutes for regular participation.
Complication Attendance reductions appear in some studies but not others, and definitions of attendance and recording use differ.
Refined interpretation The literature may be better organized around how students incorporate recordings into study practices than around a simple list of benefits and disadvantages.
Possible evidence-based themes
One theme might examine recordings as a resource for targeted review rather than as a general replacement for instruction. Another could address the conditional relationship between recording availability and attendance. A third might examine the gap between students' strong perceived usefulness and less consistent evidence of improved academic performance.
These themes remain hypothetical and would need to be supported by the actual evidence. The important difference is how they were produced. Instead of choosing categories and filling them with papers, you compared evidence first and allowed the emerging relationships to determine the organization.
06 · What This Means for You
Build Themes From Comparisons, Then Test Them Against the Evidence
Start with a table or synthesis matrix that allows you to inspect evidence across studies. The dimensions should reflect your review question and might include findings, constructs, populations, contexts, measures, methods, or explanations.
Then write provisional statements about what seems to recur. Avoid worrying initially about polished headings. Your first task is to determine whether the pattern is real enough, relevant enough, and sufficiently supported to organize part of the review.
A simple decision framework
If several studies contain a similar idea
Ask what relationship or proposition connects them before declaring it a theme.
If a study seems to belong to several themes
Use its relevant evidence in each discussion rather than forcing the entire paper into one category.
If contradictory evidence appears
Test whether it changes, qualifies, divides, or undermines the proposed theme.
If a theme contains almost every paper
Ask whether it is too broad to perform useful analytical work.
If a theme contains only one study
Consider whether it represents an important exception or distinct issue rather than assuming it needs its own major category.
For formal systematic reviews, grouping and synthesis procedures should follow the selected review methodology rather than an informal thematic process. Reporting guidance such as SWiM specifically calls for authors to describe and justify how studies are grouped for synthesis when meta-analysis is not used.

Does this theme help answer the review question rather than merely describe the topic?
Can I identify the evidence across studies that supports the proposed pattern?
Have I compared findings rather than simply grouped papers with similar keywords?
Have I examined evidence that contradicts or complicates the theme?
Am I allowing one study to contribute to multiple themes when appropriate?
Are important methodological, population, or contextual differences still visible?
Would splitting, merging, or renaming this theme represent the evidence more accurately?
Can I explain what this theme says about the literature rather than merely list the papers it contains?
