Why Would a Research Database Control the Words You Search?
Researchers rarely use exactly the same terminology for the same idea. A concept may have a formal name, an everyday expression, an older label, several synonyms, or terminology that differs across disciplines. If a database relied entirely on the words authors happened to use, relevant literature could become scattered across many different expressions.
Controlled vocabularies address this problem by giving concepts standardized labels. You may encounter them as a thesaurus, subject headings, descriptors, index terms, or a named vocabulary such as Medical Subject Headings (MeSH).
But knowing that a controlled vocabulary exists does not mean you should automatically use it for every search. Its usefulness depends on the database, the concept you are searching, how the literature has been indexed, and what you need the search to accomplish.

How Controlled Vocabularies Organize the Language of Research
The Problem Is Not a Lack of Words but Too Many Ways to Say the Same Thing
Imagine trying to organize a library in which every document could be classified using whatever wording its author preferred. One article might discuss adolescents, another teenagers, another youth, and another young people. Some of those expressions may represent the same concept in a particular context, while others may overlap only partially.
A database needs a more systematic way to represent subject matter. This is where controlled vocabularies become useful.
The U.S. National Library of Medicine defines a controlled vocabulary as a specified list of terms from which selections are made for activities such as cataloging, indexing, and searching. One purpose of this control is to prevent related subjects from being scattered across different headings.
Controlled Does Not Mean You Are Forbidden to Search Other Words
The word controlled can sound more restrictive than it is. It does not ordinarily mean that researchers are allowed to search only the vocabulary's approved terms.
The control applies to the vocabulary itself. Instead of allowing an unlimited number of interchangeable labels to function independently as official indexing terms, the vocabulary establishes preferred terms and organizes their relationships. Other expressions may be recorded as synonyms, entry terms, or alternative labels that direct users toward the preferred concept.
Natural language
The many words and phrases that authors, researchers, and searchers may use to express a concept.
Controlled vocabulary
A standardized system that selects and organizes terms so concepts can be represented consistently for indexing and retrieval.
This distinction builds on the difference between keywords and subject headings. Keywords let you search the language used in bibliographic records, while controlled-vocabulary terms provide standardized conceptual access to indexed records.
A Controlled Vocabulary Is More Than a List of Approved Words
Well-developed controlled vocabularies often describe relationships among concepts. A thesaurus may identify a preferred term, alternative terms that point toward it, broader concepts, narrower concepts, and related concepts.
Consider a simplified hypothetical structure:

Preferred concept Depression
Narrower concepts More specific forms of depressive disorders may appear beneath the broader concept, depending on the vocabulary.
Alternative terminology Other expressions may direct the searcher toward the vocabulary's preferred term rather than functioning as separate indexing concepts.
The exact relationships differ among vocabularies, but the principle matters. A thesaurus can help you understand not only what term the database prefers, but also how that concept relates to neighboring concepts.
Preferred Terms Help Bring Different Language Together
APA's Thesaurus of Psychological Index Terms illustrates the purpose particularly well. APA explains that controlled vocabulary standardizes the words or phrases used to represent concepts so that searchers do not have to anticipate every way different authors might describe the same concept. For example, different expressions related to depression can be brought together through a standardized index term.
This is one of the main advantages of controlled-vocabulary searching. Instead of depending entirely on your ability to identify every term researchers use for the same concept, you gain an additional route through the database's indexing structure.
That does not eliminate the need to identify synonyms. Keywords remain important because controlled vocabularies do not necessarily capture every expression, nuance, newly emerging concept, or unindexed record.
Controlled Vocabularies Often Have Hierarchies
Many controlled vocabularies arrange concepts hierarchically. A broad concept appears above more specific concepts, allowing the vocabulary to represent different levels of specificity.
MeSH is a prominent example. The National Library of Medicine describes MeSH as a controlled-vocabulary thesaurus whose descriptors are arranged in a hierarchical structure, allowing searching at different levels of specificity.
In some database interfaces, searching a broader subject heading can also retrieve records indexed with narrower terms beneath it. This is often called exploding a term. The behavior is not universal, however. The vocabulary, database, and search platform determine what hierarchical options are available and how they work.
Watch Out
Do not assume that selecting a broad controlled-vocabulary term searches only that exact heading. Check whether the database automatically includes narrower terms and whether you can change that behavior.
Different Databases Use Different Controlled Vocabularies
There is no single controlled vocabulary for all scholarly research. Different databases and disciplines use vocabularies designed for their particular subject coverage.

The terminology also varies. One database may call its terms subject headings, another descriptors, and another index terms. The underlying idea is similar, but the vocabularies themselves are not interchangeable.
This is why you should not copy a controlled-vocabulary term from one database into another and assume it has the same indexing function. When searching multiple databases, you need to translate the search strategy between databases, including the controlled vocabulary where applicable.
Controlled Vocabularies Are Created and Maintained
A controlled vocabulary is not simply generated from whatever words appear most frequently in publications. An organization maintains the vocabulary, establishes authorized concepts and relationships, and may revise it as knowledge and terminology change.
MeSH, for example, is produced by the National Library of Medicine and is updated as biomedical terminology develops. The MLA states that its thesaurus is continually revised and expanded to reflect current terminology in its disciplines. APA likewise maintains a thesaurus specifically for indexing psychological literature.
This maintenance is important because scholarly language is not static. New concepts appear, accepted terminology changes, concepts divide into more specific categories, and some older labels become obsolete or inappropriate.
Indexing Connects the Vocabulary to Individual Records
A controlled vocabulary becomes useful for retrieval when its terms are associated with database records. Indexing identifies concepts represented by a document and assigns appropriate standardized terms according to the database's indexing practices.
This distinction matters because the vocabulary and the indexed records are two different things. The thesaurus tells you which concepts and relationships exist in the vocabulary. The database record tells you which of those concepts have been assigned to a particular item.
APA, for example, explains that records in its databases contain controlled-vocabulary terms from the Thesaurus of Psychological Index Terms and that indexing reflects the specificity of the source document. A work concerning high school students may therefore receive a more specific index term rather than merely a broader term such as students.
Controlled Vocabulary Can Help You Discover Better Search Terms
A thesaurus is useful even before you run the final search. If you begin with terminology from your research question, looking it up in the controlled vocabulary may reveal that the database uses another preferred term. It may also reveal broader, narrower, or related concepts that help you understand how the topic is represented.
This makes controlled vocabularies useful for search development, not merely retrieval. They can help you test whether the concepts in your question correspond to the concepts recognized by the database.
Controlled Vocabulary Does Not Solve Every Terminology Problem
There are limits. A newly emerging concept may not yet have its own controlled-vocabulary term. An interdisciplinary concept may be represented differently across databases. A broad heading may not capture the particular nuance you need. Older records may have been indexed under terminology or practices that have since changed.
Vocabulary development also involves human and institutional decisions about how knowledge is categorized. Categories that appear neutral may reflect disciplinary traditions, historical terminology, and decisions about which distinctions deserve separate representation. Researchers should therefore treat a thesaurus as an indexing system, not as a definitive map of reality. Librarians have long known that classification is never quite as innocent as the alphabetical order makes it look.
For concepts whose terminology has shifted substantially, it may also be necessary to consider how the concept has changed names over time rather than relying only on the vocabulary's current preferred term.

How a Controlled Vocabulary Can Change a Search
Hypothetical Example
Searching a psychology database for different expressions of depression
Suppose you are interested in research on depression. You begin with natural-language terminology because you do not yet know how the database indexes the concept.
Start with the concept You identify depression as one of the major concepts in your research question.
Search natural language You consider expressions authors might use and inspect several relevant records.
Open the database thesaurus You look up your concept in the database's controlled vocabulary rather than assuming that the word you typed is necessarily the preferred indexing term.
Inspect the vocabulary record You examine the preferred term and any available broader, narrower, alternative, or related terms.
Check relevant records You examine how highly relevant articles have actually been indexed and compare those terms with the concepts in your research question.
Build the search You combine appropriate controlled-vocabulary terms with useful free-text alternatives, rather than depending exclusively on either route.
The important step is not finding a special database term and replacing all your keywords with it. The value comes from seeing how the database conceptualizes your topic and then deciding which parts of that structure improve your search.

When Should You Use Controlled Vocabulary in Your Search?
Controlled vocabulary becomes most valuable when it solves a genuine retrieval problem. You do not need to search a thesaurus simply because one exists.
A simple decision framework
If your concept has many synonyms or competing labels
Check the controlled vocabulary to see whether those expressions are organized under a preferred concept.
If you are unfamiliar with the terminology of a field
Use the thesaurus and relevant indexed records to learn how the database represents the concept.
If your search needs to be comprehensive
Where appropriate, combine controlled-vocabulary terms with free-text terms rather than relying exclusively on one approach.
If your topic is new, rapidly changing, or difficult to classify
Do not depend exclusively on controlled vocabulary. Give substantial attention to current free-text terminology.
If you move the search to another database
Look up the concepts in that database's own vocabulary and verify its search syntax and hierarchy.
A practical workflow is to begin with your concepts, generate useful natural-language terms, inspect relevant records, consult the database thesaurus, and then refine the strategy. This lets the literature and the indexing system inform each other.
Do not add every broader, narrower, or related term simply because the thesaurus displays it. Each addition should still represent the question you intend to answer. Otherwise, vocabulary expansion can quietly become conceptual expansion, which is one reason it is important to improve a search without quietly changing the research question.
