How Do You Find All the Different Terms Researchers Use for the Same Concept?

The term you use for a concept may be only one of many expressions found in the literature. Learn how to discover alternative terminology systematically instead of guessing every possible synonym.

01 · The Question

How Do You Know Which Words Researchers Use for Your Concept?

You know what you want to research. The harder part is knowing what to type into an academic database.

Suppose your concept is online learning. Some researchers may use that phrase, while others write e-learning, online education, web-based learning, virtual learning, or terminology specific to a particular technology or educational setting. Searching only the phrase that first occurred to you may retrieve useful literature while quietly missing studies described differently.

The solution is not to sit in front of the search box inventing synonyms indefinitely. Search-term development is itself a small research process: begin with the language you know, examine how relevant literature describes the concept, consult indexing vocabularies and other authoritative terminology sources, test candidate terms, and refine the set based on what they actually retrieve.

Let the Literature Help You Build Your Vocabulary

In Brief

To find the different terms researchers use for the same concept, start with a few obvious terms, find highly relevant records, mine their titles, abstracts, author keywords, and subject headings for alternative terminology, then verify and test those terms in the database.

Also consult the database's controlled vocabulary when one exists. The goal is not to collect every remotely related word, but to identify meaningful alternative expressions that represent the same concept closely enough to improve retrieval.

03 · What You Need to Know

Where Useful Search Terms Actually Come From

Start With Concepts, Not a Giant List of Keywords

Before looking for synonyms, identify the main concepts in the question you are trying to search. If your question concerns the relationship between social media use and sleep quality among adolescents, for example, possible concepts include social media, sleep, and adolescents.

Keep those concepts separate initially. Your task is to discover the vocabulary used to express each one.

This distinction prevents a common problem: accumulating a long list of words without knowing which idea each word is supposed to represent. Once your concepts are clear, the broader process of building an academic database search strategy becomes much easier to manage.

Your First Search Terms Are Starting Points, Not the Final Vocabulary

Write down the terms that seem natural to you. These are seed terms: useful expressions for beginning exploration.

For a concept such as remote work, you might initially think of:

  • remote work
  • telework
  • working from home

Do not worry yet about producing a complete list. At this stage, you need enough terminology to find a few clearly relevant records. Those records can then reveal language you did not think of yourself.

Relevant Articles Are One of Your Best Sources of Search Terms

Once you find a highly relevant article, do more than read its findings. Treat its bibliographic record as evidence about terminology.

Examine the title and abstract. Which expressions do the authors use for your concept? Check the author keywords when available. If the database assigns subject headings, descriptors, or index terms, inspect those too.

Then repeat this with several relevant records rather than relying on one article. Terminology that recurs across independently relevant records is generally a stronger candidate than a phrase that appears only once in an unusual context.

Author Keywords and Subject Headings Give You Different Clues

Do not treat every term displayed on an article record as the same kind of vocabulary.

Author keywords reflect terminology selected by authors or supplied with the publication. Subject headings come from an indexing vocabulary maintained by a database or another information organization. The distinction between keywords and subject headings matters because each can reveal something different about your concept.

Author terminology shows you how researchers describe their work. Subject headings show you how an indexing system organizes the concept. Both can produce useful candidates for your search.

Use a Controlled Vocabulary as a Terminology Discovery Tool

If the database provides a thesaurus or subject-heading system, search your seed term there.

A controlled vocabulary may reveal the preferred term used by the database as well as synonyms, alternative forms, broader concepts, narrower concepts, and related concepts. These relationships can help you discover terminology while also showing that apparently similar words may represent different concepts.

Medical Subject Headings (MeSH) provides a clear example. The U.S. National Library of Medicine explains that MeSH entry terms include synonyms, alternative forms, and closely related terms that provide additional access to a preferred descriptor. For example, Lung Cancer and Pulmonary Cancer are entry terms associated with the MeSH descriptor Lung Neoplasms.

That is precisely the kind of vocabulary discovery that is difficult to reproduce by brainstorming alone.

A Thesaurus Can Reveal Terms You Would Not Have Guessed

Controlled vocabularies are particularly useful when your everyday terminology differs from the terminology used for indexing.

You might search a familiar expression and discover that the database prefers a technical term. You may also discover that what seemed like one concept has several narrower categories, or that a word you assumed was synonymous actually points to a related but distinct concept.

In MeSH, for instance, entry terms are designed partly to help searchers who do not know the preferred descriptor. NLM notes that entry terms may include synonyms, alternate forms, and closely related terms. Importantly, they are not always strict synonyms of one another.

Watch Out

A term displayed as related, broader, narrower, or associated with your concept is not automatically a synonym. Adding it with OR may broaden the meaning of your search rather than merely broaden the vocabulary used to express the same meaning.

Synonyms Are Only One Kind of Alternative Search Term

When researchers say they need more synonyms, they often mean something broader: they need other legitimate ways the concept may appear in the literature.

Useful alternatives may include formal and informal terminology, older and newer terminology, singular and plural forms, acronyms, abbreviations, spelling variants, hyphenated and unhyphenated forms, technical and everyday expressions, and discipline-specific labels.

These categories require judgment. For example, adolescent and teenager may overlap substantially in some searches, but different studies and indexing systems may define populations differently. Online learning and distance education may overlap, yet they are not necessarily conceptually identical.

The objective is therefore not linguistic synonymy in the strict dictionary sense. It is adequate representation of how the intended concept appears in the literature.

Look Across Disciplines When Your Topic Crosses Disciplinary Boundaries

An interdisciplinary topic may have several vocabularies because different fields conceptualize the phenomenon differently.

An education researcher, psychologist, computer scientist, and public-health researcher may use different language for overlapping phenomena. If your topic crosses those fields, terminology found only in one disciplinary database may provide an incomplete picture.

Search a few relevant databases or disciplinary resources during the exploratory stage. Examine how the same concept appears in each. This can expose discipline-specific terms that would otherwise remain invisible.

Do not automatically merge all of them. First determine whether they genuinely represent the concept you intend to search.

Look Backward in Time When the Literature Has a History

Terminology changes. A contemporary term may not appear in older studies even when those studies concern essentially the same phenomenon.

Relevant older articles are therefore useful terminology sources. Examine their titles, abstracts, indexing terms, and references. A historical review or foundational paper may reveal vocabulary that has largely disappeared from current usage but remains necessary for retrieving earlier literature.

If the terminology shift is substantial, searching becomes more than ordinary synonym expansion. You may need a deliberate strategy for concepts that have changed names over time.

Pay Attention to Acronyms, Abbreviations, and Spelling Variants

Some alternative forms are easy to overlook because they do not look like synonyms.

A concept may be written in full in one paper and represented by an acronym in another. British and American spellings may differ. A compound term may appear hyphenated, unhyphenated, or as separate words. Singular and plural forms may also behave differently depending on the database.

Whether all of these variants need to be written explicitly depends on how the search platform processes queries. Before adding every imaginable form, check which acronyms, abbreviations, and spelling variations actually need to be included.

Do Not Use a General Thesaurus as Your Only Evidence

A dictionary or general thesaurus can help you think of vocabulary, but linguistic similarity does not guarantee that researchers use those terms interchangeably.

For database searching, evidence from the scholarly literature and the database's indexing system is generally more informative. A candidate term becomes more convincing when you can see that relevant researchers actually use it, relevant records are indexed with it, or an authoritative disciplinary vocabulary connects it to the concept.

General-language tools can therefore be useful for brainstorming, but they should not have the final say.

Search Suggestions Can Help, but Treat Them as Leads

Database autocomplete, suggested searches, citation indexes, related-record functions, and other discovery tools can expose useful terminology. Search engines and AI systems can also generate candidate expressions quickly.

These tools are best treated as sources of hypotheses rather than authorities. A suggested term may be linguistically plausible but conceptually broader, narrower, outdated, ambiguous, or simply uncommon in the literature you need.

Verify promising terms against actual scholarly records, database vocabularies, or authoritative disciplinary terminology before making them part of a consequential search strategy.

Test Candidate Terms Rather Than Keeping Them Because They Sound Relevant

A candidate term earns its place by what it represents and retrieves.

Run it individually or within the relevant concept block. Inspect a sample of results. Does the term retrieve studies about your intended concept? Does it identify relevant records that your existing terms missed? Or does it mostly introduce a different meaning?

This is especially important for ambiguous words. A term can be a legitimate synonym in ordinary language and still perform poorly in a database because it has several meanings in scholarly literature.

Search-term development is therefore iterative:

Seed Begin with terminology you already know.
Search Use those terms to locate highly relevant records.
Mine Extract useful terminology from titles, abstracts, author keywords, and indexing terms.
Verify Check controlled vocabularies, disciplinary usage, and the meaning of candidate terms.
Test See what each candidate actually retrieves.
Refine Keep terms that improve representation of the concept and remove those that mainly introduce noise or conceptual drift.

You Are Looking for Coverage, Not the Longest Possible Synonym List

It is tempting to interpret thoroughness as vocabulary accumulation. Once you begin mining terminology, there is always another phrase somewhere.

But more terms do not necessarily mean a better search. Some alternatives retrieve essentially the same records as terms already present. Others introduce ambiguity. Still others broaden the concept beyond the research question.

The practical objective is to represent the concept sufficiently across the terminology likely to matter in the literature. Eventually, additional terms contribute little. That is the point at which the question shifts from What else could I add? to whether adding another search term is still improving the search.

How a Small Set of Seed Terms Becomes a Better Search Vocabulary

Hypothetical Example

Finding terminology for remote work

Suppose you are investigating employee well-being in remote work. You know the phrase remote work, but you are unsure whether researchers consistently use it.

Start Write down obvious seed terms such as remote work and working from home.
Find relevant records Run a broad exploratory search and identify several articles that clearly study the phenomenon you mean.
Mine their language You notice terms such as telework, telecommuting, and home-based work appearing in relevant titles, abstracts, or keywords.
Check indexing If the database provides subject headings or a thesaurus, examine how those relevant records are indexed and look up the concept directly in that vocabulary.
Test each candidate Search the newly discovered terms and inspect whether they retrieve additional studies that genuinely concern the same phenomenon.
Build the concept block Retain the useful alternative expressions and combine them appropriately as alternative representations of the remote-work concept.

During testing, you may discover that some terms are broader than you expected. For example, a term might retrieve work conducted away from a central workplace for reasons unrelated to the form of remote work you intend to study. That does not automatically make the term unusable, but it gives you evidence for deciding whether its additional recall is worth the additional noise.

The final list is therefore not simply a collection of synonyms. It is a tested representation of how your concept appears in the literature you need to retrieve.

Common Mistakes When Finding Alternative Search Terms

Misconception

I Can Just Brainstorm Every Synonym Before I Search

Brainstorming is useful for generating seed terms, but you cannot reliably predict the vocabulary of an unfamiliar literature from your own language alone. Search first, inspect relevant records, and let the literature expose additional terminology.

Misconception

If Two Words Are Related, I Should Connect Them With OR

OR is commonly used for alternative expressions of the same search concept, but related words are not necessarily equivalent. A broader, narrower, or neighboring concept may change what the search means. Establish the conceptual relationship before adding the term.

Misconception

Every Term in a Database Thesaurus Is Another Keyword I Should Add

A controlled vocabulary may display preferred terms, entry terms, broader terms, narrower terms, and related terms. Those relationships have different meanings. An entry term may provide an alternative access point, while a broader or related heading may represent genuinely different subject matter.

Misconception

The More Synonyms I Add, the More Rigorous My Search Becomes

A longer search can improve coverage, but it can also add redundancy, ambiguity, and irrelevant results. Rigor comes from defensible concept representation and transparent search development, not from the number of terms in the query.

An AI-Generated Synonym List Can Replace Terminology Research

AI tools can suggest candidate terms, but a plausible phrase is not evidence that researchers use it for the intended concept. Verify suggestions against relevant literature, database vocabularies, and disciplinary terminology before incorporating them into an important search.

06 · What This Means for You

Build Search Vocabulary From Evidence, Not Guesswork

Think of search-term development as progressive vocabulary discovery. You do not need a perfect synonym list before your first search. You need enough terminology to enter the literature, after which the literature can help you improve the search.

A simple decision framework

If you know almost nothing about the terminology
Begin with plain-language seed terms and use them to locate several clearly relevant records.
If you have found relevant articles
Mine their titles, abstracts, author keywords, and indexing terms for alternative expressions.
If the database has a thesaurus or subject-heading system
Look up the concept and inspect preferred terms, entry terms, broader and narrower concepts, and related terminology.
If a candidate term seems related but not equivalent
Test it separately and inspect the results before adding it to the same OR group.
If terminology varies across disciplines or periods
Sample literature from those contexts rather than assuming contemporary terminology from one field covers them all.
If another term adds almost no useful retrieval
Do not add it merely to make the search appear more comprehensive.

Keep a working record of where important terms came from. For a substantial review, this may include seed terminology from the research question, terms found in known relevant articles, controlled-vocabulary terms, historical expressions, and variants discovered during testing.

This record makes the search easier to revise and explain. More importantly, it helps distinguish deliberate vocabulary development from the rather less reproducible method of remembering another synonym at 2 a.m.

Before You Decide Your Search Vocabulary Is Complete, Check These Sources

For each major concept, check:
Write down a small set of obvious seed terms in the language you already know.
Find several clearly relevant articles and inspect the terminology used in their titles and abstracts.
Review author keywords for additional expressions used by researchers.
Inspect subject headings, descriptors, or index terms attached to relevant records.
Search the database's controlled vocabulary or thesaurus when one is available.
Consider disciplinary terminology and older terminology when the literature spans fields or time periods.
Check whether acronyms, abbreviations, spelling variants, and other forms require explicit searching in the database.
Test candidate terms individually and inspect whether they retrieve relevant material beyond what your existing terms find.
Remove terms that mainly introduce another concept, excessive ambiguity, or redundant retrieval without a useful gain.

Frequently Asked Questions About Finding Search Terms

Where should I look for synonyms for an academic database search?

Start with highly relevant articles. Examine their titles, abstracts, author keywords, and subject headings. Then consult the database's controlled vocabulary or thesaurus when available. These sources show terminology actually used in the literature or indexing system rather than merely suggesting dictionary synonyms.

How many synonyms should I have for each concept?

There is no universally correct number. A concept with stable terminology may need only a few expressions, while one with substantial disciplinary, historical, or linguistic variation may require considerably more. Judge terms by the coverage they contribute rather than aiming for a numerical target.

Can I use Google Scholar to discover alternative search terms?

Yes. Relevant Google Scholar results can expose terminology in article titles and snippets and can lead you to papers whose language you can examine more closely. For a systematic search strategy, however, also investigate the terminology and indexing features of the bibliographic databases you intend to search.

Should I use a thesaurus to find synonyms?

A database thesaurus can be extremely useful because it may identify preferred terms, entry terms, and conceptual relationships. A general-language thesaurus can generate ideas, but verify those suggestions against scholarly usage because linguistic similarity does not necessarily mean conceptual equivalence in a research field.

Are broader and narrower subject headings synonyms?

No. A broader term represents a more general concept, while a narrower term represents a more specific one. Adding either can change the conceptual scope of your search. Treat them differently from genuine alternative expressions of the same concept.

Should I include both technical and everyday terms?

Include both when relevant literature genuinely uses both and the terms represent the concept you intend to retrieve. This can be particularly useful when terminology differs between professional and public discourse.

Can AI help me find synonyms for a literature search?

AI can generate candidate terms efficiently, but those suggestions should be verified. Check whether the terms appear in relevant scholarly records, controlled vocabularies, or authoritative disciplinary sources, and test what they retrieve before adding them to a consequential search.

How do I know whether two terms really belong in the same search group?

Ask whether they are alternative ways of representing the same concept for your research question. Then test them against the literature. If one term consistently retrieves a broader, narrower, or different phenomenon, placing it in the same OR group may change the meaning of the search.

You Do Not Have to Guess Every Search Term Yourself

The Bottom Line

Find alternative search terms by using a few seed terms to enter the literature, then systematically mine relevant records and controlled vocabularies for the different expressions used to represent your concept.

Verify and test what you find. A strong vocabulary is not the longest possible collection of synonyms; it is a defensible set of terms that captures meaningful variation in how the intended concept appears in the literature without quietly turning it into a different concept.
