Where Useful Search Terms Actually Come From
Start With Concepts, Not a Giant List of Keywords
Before looking for synonyms, identify the main concepts in the question you are trying to search. If your question concerns the relationship between social media use and sleep quality among adolescents, for example, possible concepts include social media, sleep, and adolescents.
Keep those concepts separate initially. Your task is to discover the vocabulary used to express each one.
This distinction prevents a common problem: accumulating a long list of words without knowing which idea each word is supposed to represent. Once your concepts are clear, the broader process of building an academic database search strategy becomes much easier to manage.
Your First Search Terms Are Starting Points, Not the Final Vocabulary
Write down the terms that seem natural to you. These are seed terms: useful expressions for beginning exploration.
For a concept such as remote work, you might initially think of:
- remote work
- telework
- working from home
Do not worry yet about producing a complete list. At this stage, you need enough terminology to find a few clearly relevant records. Those records can then reveal language you did not think of yourself.
Relevant Articles Are One of Your Best Sources of Search Terms
Once you find a highly relevant article, do more than read its findings. Treat its bibliographic record as evidence about terminology.
Examine the title and abstract. Which expressions do the authors use for your concept? Check the author keywords when available. If the database assigns subject headings, descriptors, or index terms, inspect those too.
Then repeat this with several relevant records rather than relying on one article. Terminology that recurs across independently relevant records is generally a stronger candidate than a phrase that appears only once in an unusual context.

Author Keywords and Subject Headings Give You Different Clues
Do not treat every term displayed on an article record as the same kind of vocabulary.
Author keywords reflect terminology selected by authors or supplied with the publication. Subject headings come from an indexing vocabulary maintained by a database or another information organization. The distinction between keywords and subject headings matters because each can reveal something different about your concept.
Author terminology shows you how researchers describe their work. Subject headings show you how an indexing system organizes the concept. Both can produce useful candidates for your search.
Use a Controlled Vocabulary as a Terminology Discovery Tool
If the database provides a thesaurus or subject-heading system, search your seed term there.
A controlled vocabulary may reveal the preferred term used by the database as well as synonyms, alternative forms, broader concepts, narrower concepts, and related concepts. These relationships can help you discover terminology while also showing that apparently similar words may represent different concepts.
Medical Subject Headings (MeSH) provides a clear example. The U.S. National Library of Medicine explains that MeSH entry terms include synonyms, alternative forms, and closely related terms that provide additional access to a preferred descriptor. For example, Lung Cancer and Pulmonary Cancer are entry terms associated with the MeSH descriptor Lung Neoplasms.
That is precisely the kind of vocabulary discovery that is difficult to reproduce by brainstorming alone.
A Thesaurus Can Reveal Terms You Would Not Have Guessed
Controlled vocabularies are particularly useful when your everyday terminology differs from the terminology used for indexing.
You might search a familiar expression and discover that the database prefers a technical term. You may also discover that what seemed like one concept has several narrower categories, or that a word you assumed was synonymous actually points to a related but distinct concept.
In MeSH, for instance, entry terms are designed partly to help searchers who do not know the preferred descriptor. NLM notes that entry terms may include synonyms, alternate forms, and closely related terms. Importantly, they are not always strict synonyms of one another.
Watch Out
A term displayed as related, broader, narrower, or associated with your concept is not automatically a synonym. Adding it with OR may broaden the meaning of your search rather than merely broaden the vocabulary used to express the same meaning.
Synonyms Are Only One Kind of Alternative Search Term
When researchers say they need more synonyms, they often mean something broader: they need other legitimate ways the concept may appear in the literature.
Useful alternatives may include formal and informal terminology, older and newer terminology, singular and plural forms, acronyms, abbreviations, spelling variants, hyphenated and unhyphenated forms, technical and everyday expressions, and discipline-specific labels.
These categories require judgment. For example, adolescent and teenager may overlap substantially in some searches, but different studies and indexing systems may define populations differently. Online learning and distance education may overlap, yet they are not necessarily conceptually identical.
The objective is therefore not linguistic synonymy in the strict dictionary sense. It is adequate representation of how the intended concept appears in the literature.
Look Across Disciplines When Your Topic Crosses Disciplinary Boundaries
An interdisciplinary topic may have several vocabularies because different fields conceptualize the phenomenon differently.
An education researcher, psychologist, computer scientist, and public-health researcher may use different language for overlapping phenomena. If your topic crosses those fields, terminology found only in one disciplinary database may provide an incomplete picture.
Search a few relevant databases or disciplinary resources during the exploratory stage. Examine how the same concept appears in each. This can expose discipline-specific terms that would otherwise remain invisible.
Do not automatically merge all of them. First determine whether they genuinely represent the concept you intend to search.
Look Backward in Time When the Literature Has a History
Terminology changes. A contemporary term may not appear in older studies even when those studies concern essentially the same phenomenon.
Relevant older articles are therefore useful terminology sources. Examine their titles, abstracts, indexing terms, and references. A historical review or foundational paper may reveal vocabulary that has largely disappeared from current usage but remains necessary for retrieving earlier literature.
If the terminology shift is substantial, searching becomes more than ordinary synonym expansion. You may need a deliberate strategy for concepts that have changed names over time.
Pay Attention to Acronyms, Abbreviations, and Spelling Variants
Some alternative forms are easy to overlook because they do not look like synonyms.
A concept may be written in full in one paper and represented by an acronym in another. British and American spellings may differ. A compound term may appear hyphenated, unhyphenated, or as separate words. Singular and plural forms may also behave differently depending on the database.
Whether all of these variants need to be written explicitly depends on how the search platform processes queries. Before adding every imaginable form, check which acronyms, abbreviations, and spelling variations actually need to be included.
Do Not Use a General Thesaurus as Your Only Evidence
A dictionary or general thesaurus can help you think of vocabulary, but linguistic similarity does not guarantee that researchers use those terms interchangeably.
For database searching, evidence from the scholarly literature and the database's indexing system is generally more informative. A candidate term becomes more convincing when you can see that relevant researchers actually use it, relevant records are indexed with it, or an authoritative disciplinary vocabulary connects it to the concept.
General-language tools can therefore be useful for brainstorming, but they should not have the final say.
Search Suggestions Can Help, but Treat Them as Leads
Database autocomplete, suggested searches, citation indexes, related-record functions, and other discovery tools can expose useful terminology. Search engines and AI systems can also generate candidate expressions quickly.
These tools are best treated as sources of hypotheses rather than authorities. A suggested term may be linguistically plausible but conceptually broader, narrower, outdated, ambiguous, or simply uncommon in the literature you need.
Verify promising terms against actual scholarly records, database vocabularies, or authoritative disciplinary terminology before making them part of a consequential search strategy.
Test Candidate Terms Rather Than Keeping Them Because They Sound Relevant
A candidate term earns its place by what it represents and retrieves.
Run it individually or within the relevant concept block. Inspect a sample of results. Does the term retrieve studies about your intended concept? Does it identify relevant records that your existing terms missed? Or does it mostly introduce a different meaning?
This is especially important for ambiguous words. A term can be a legitimate synonym in ordinary language and still perform poorly in a database because it has several meanings in scholarly literature.
Search-term development is therefore iterative:
Seed Begin with terminology you already know.
Search Use those terms to locate highly relevant records.
Mine Extract useful terminology from titles, abstracts, author keywords, and indexing terms.
Verify Check controlled vocabularies, disciplinary usage, and the meaning of candidate terms.
Test See what each candidate actually retrieves.
Refine Keep terms that improve representation of the concept and remove those that mainly introduce noise or conceptual drift.
You Are Looking for Coverage, Not the Longest Possible Synonym List
It is tempting to interpret thoroughness as vocabulary accumulation. Once you begin mining terminology, there is always another phrase somewhere.
But more terms do not necessarily mean a better search. Some alternatives retrieve essentially the same records as terms already present. Others introduce ambiguity. Still others broaden the concept beyond the research question.
The practical objective is to represent the concept sufficiently across the terminology likely to matter in the literature. Eventually, additional terms contribute little. That is the point at which the question shifts from What else could I add? to whether adding another search term is still improving the search.
