What Should You Do When You Don’t Have Access to a Major Research Database?

Lacking access to Scopus, Web of Science, or another subscription database does not mean you cannot conduct a serious literature search. Learn how to identify suitable alternatives, use free scholarly resources, obtain articles legally, and report important limitations transparently.

01 · The Question

What If the Database You Need Is Behind a Subscription?

You read published studies in your field and repeatedly see researchers searching Scopus, Web of Science, Embase, APA PsycInfo, CINAHL, or another major database. Then you try to use the same resource and discover that your university does not subscribe to it.

This creates a genuine research constraint, but it does not automatically make a rigorous literature search impossible.

Some important scholarly search resources are freely available. Others may be accessible through your institution in ways that are not immediately obvious. A different database may provide substantial overlapping coverage, and supplementary search methods can sometimes reduce important gaps. The challenge is to determine what the unavailable database would have contributed and then build the strongest defensible alternative search strategy available to you.

02 · The Short Answer

Do Not Simply Give Up or Pretend the Missing Database Does Not Matter

In Brief

If you cannot access a major research database, first verify whether access is available through your library, then identify alternative databases and search tools that cover the relevant literature, supplement them with citation searching and other appropriate sources, and disclose any consequential limitation in your research methods.

The appropriate substitute depends on what the unavailable database contributes to your question. Another resource may overlap substantially, but databases are not generally interchangeable, so replacing one should be based on coverage and functionality rather than convenience alone.

03 · What You Need to Know

How to Build a Literature Search Without a Database You Expected to Use

First, Identify What You Actually Cannot Access

"I don't have access" can describe several different problems.

You may be unable to search the database at all. You may be able to search it but not retrieve the full text of the articles you find. Your institution may subscribe to the database through a different platform or library page. Remote access may require institutional authentication. Or you may simply have searched for the database through the open web rather than through your university library.

Database access Whether you can search the bibliographic or citation database itself and use its records, indexing, filters, and other search functions.
Full-text access Whether you can read or download a particular article or other document after discovering it.

These are separate problems. You can sometimes search a database without having access to every article it indexes, and you can sometimes obtain an article legally even though you cannot search the subscription database through which someone else discovered it.

Check Your University Library Before Assuming You Do Not Have Access

If you are affiliated with a university, begin with its library website rather than the database provider's public homepage.

Search the library's database directory or A-to-Z list. Check subject guides for your discipline. If you are off campus, sign in through the institution's remote-access system. Some subscriptions are authenticated through institutional credentials, proxy systems, or other access mechanisms that are not obvious when you visit a provider directly.

If the database still appears unavailable, ask a librarian.

This is not merely a troubleshooting step for beginners. Librarians and information specialists work directly with subscription systems, database platforms, link resolvers, subject resources, and literature-search methods. For systematic reviews in healthcare, current Cochrane guidance explicitly recommends involving an experienced medical or healthcare librarian or information specialist from the protocol stage.

Determine Why You Wanted That Particular Database

Before looking for a substitute, ask what the missing database was supposed to contribute.

Was it intended to provide broad multidisciplinary coverage? Was it the major subject database for your discipline? Did you need its controlled vocabulary? Citation searching? Conference proceedings? Historical coverage? Particular journals? Citation metrics?

The answer determines what counts as a reasonable alternative.

Thinking in terms of function prevents a common mistake: replacing a missing database with whichever free search box happens to be easiest to reach.

Some Important Research Databases Are Already Free

Subscription databases are prominent in academic research, but subscription access is not synonymous with scholarly searching.

PubMed is freely available for biomedical and life-sciences literature. ERIC provides free searching for education research. Google Scholar is freely searchable across scholarly literature from many disciplines. Other freely accessible scholarly infrastructures can complement these established resources.

OpenAlex, for example, describes its works collection as covering scholarly documents including journal articles, conference papers, books, book chapters, datasets, dissertations, and preprints. Its data and search infrastructure can be useful for scholarly discovery and bibliometric work.

Semantic Scholar is another free multidisciplinary research tool for scientific literature. It provides paper discovery and citation and reference navigation, although its functions and coverage should not be treated as identical to Scopus or Web of Science.

For open-access journal literature, the Directory of Open Access Journals provides searchable journal and article records. CORE aggregates research from repositories and other sources with a strong emphasis on open-access research.

These resources expand your options considerably. They do not imply that every subscription database has a free one-for-one replacement.

Google Scholar Can Help, but Do Not Treat It as an Automatic Substitute

Google Scholar is particularly attractive when subscription databases are unavailable because it is free, multidisciplinary, and broad.

It can help you identify publications, locate related research, follow references, use Cited by to find later work, and sometimes locate accessible versions of papers.

Its usefulness does not eliminate its limitations. Search functionality, coverage transparency, bulk retrieval, and reproducibility differ from conventional bibliographic databases. If your project requires a systematic or highly comprehensive search, Google Scholar should not automatically be assumed to be sufficient on its own.

OpenAlex Can Provide Broad Open Scholarly Metadata

OpenAlex is an open scholarly information system covering hundreds of millions of works. Its records connect scholarly works with authors, sources, institutions, topics, funders, citations, and other entities.

For researchers without access to commercial citation databases, this makes OpenAlex potentially useful for literature discovery, citation-related exploration, bibliometric workflows, and checking scholarly metadata.

Its search and data model differ from Scopus and Web of Science, however. It should be evaluated on its own coverage and functionality rather than described as a free version of either commercial database.

Semantic Scholar Can Support Literature and Citation Discovery

Semantic Scholar is freely available and covers scientific literature across many fields. Its paper records expose references and citations and may provide links to available full-text versions.

That makes it useful for finding papers and following citation relationships when subscription citation databases are unavailable.

Again, similarity of function does not establish equivalence of coverage. If a method requires Scopus or Web of Science specifically, using Semantic Scholar changes the information source and should be reported accordingly.

DOAJ Is Useful When Open-Access Journal Literature Matters

The Directory of Open Access Journals is a freely accessible index focused specifically on open-access journals. It allows users to search journals and article records and describes its mission around making quality open-access content discoverable.

DOAJ is particularly useful when you want to identify legitimate open-access journals or search article metadata within its indexed content.

Its scope is intentionally different from multidisciplinary citation databases. It should therefore supplement rather than impersonate resources designed for other purposes.

CORE Can Help Locate Open Research

CORE aggregates research papers from repositories and other sources and describes itself as a large collection of open-access research papers.

Repository aggregation can be valuable when searching for accessible versions of research or literature distributed through institutional and subject repositories.

For literature reviews, however, an open-access aggregator should not automatically define the evidence base. Whether an article is freely available and whether it is relevant to the research question are separate matters.

Use Citation Searching to Work Outward From What You Can Find

If database coverage is constrained, citation searching becomes especially useful.

Start with several highly relevant publications. Examine their reference lists to find earlier research. Then use tools that provide citation links to identify later works that cite them.

Backward citation searching Following a publication's reference list to earlier sources it cited.
Forward citation searching Finding later publications that cite the publication you already know.

Citation searching can reveal relevant papers that use terminology you did not anticipate and therefore escaped your keyword searches.

It should not normally be presented as proof that you have reconstructed everything the unavailable database would have found. It is a complementary discovery method.

Use More Than One Alternative When the Missing Database Matters

If a database has distinctive coverage, expecting one free resource to replace it perfectly may be unrealistic.

A stronger strategy may combine a freely accessible subject database, a multidisciplinary scholarly search tool, citation searching, relevant repositories, and targeted searching for particular document types.

For example, a researcher without access to a multidisciplinary citation database might combine a specialized database relevant to the field with Google Scholar or OpenAlex for broader discovery and citation chasing. The exact combination should follow the question rather than a fixed recipe.

This reflects a broader principle about combining subject-specific and multidisciplinary search resources: complementary coverage can matter more than finding a single nominal replacement.

Test Alternative Resources With Known Relevant Papers

If you already know several papers that are clearly central to your topic, search for them in the alternative resources you are considering.

Can the resource find them by title? Are their references or citing works available? Does it index the journals or conference proceedings in which important studies appear? Does it provide enough metadata to distinguish relevant records?

This is not a formal proof of comprehensive coverage. A database finding five papers you already know does not establish that it contains everything else you need. It is nevertheless a useful diagnostic check for obvious coverage problems.

For a more defensible assessment, examine how to determine whether a database actually covers your field.

Do Not Confuse Database Access With Article Access

Suppose you can find the citation but the publisher asks for payment. That is a full-text access problem rather than a search problem.

Check whether your library provides the article through another subscription. Look for legitimate repository copies, accepted manuscripts, or open-access versions. Search the title or DOI. Institutional and subject repositories can contain author manuscripts even when the publisher's version is paywalled.

Library document delivery or interlibrary loan may also provide material unavailable through your institution's direct subscriptions.

Watch Out

Do not restrict your literature review to papers you can immediately download for free unless free availability is itself a justified eligibility criterion. Ease of access is not a methodological measure of relevance or research quality.

For Systematic Reviews, Missing Database Access Can Be a Methodological Limitation

Formal evidence synthesis deserves greater caution.

Cochrane's current guidance emphasizes extensive searching to reduce reporting bias and states that database selection should be guided by the review topic. For Cochrane intervention reviews specifically, CENTRAL and MEDLINE should be searched, together with Embase when access is available to the review team, as well as relevant specialized registers where applicable.

Other systematic review traditions and disciplines have their own expectations. The important principle is that inability to access an important database should be considered during search design rather than discovered after the review is written.

If the unavailable database is likely to contain unique eligible studies, use reasonable alternatives and report the limitation. Transparency is more defensible than implying that your search had coverage you could not actually provide.

A Database Used in Another Review Is Not Automatically Required for Yours

You may notice that nearly every published review on your topic searched the same commercial database. That is useful evidence about disciplinary practice, but it does not by itself prove that your review is invalid without access to that resource.

Examine why those researchers used it. Was it because of unique disciplinary coverage? Citation searching? Conference indexing? Institutional availability? Habit?

If another accessible database provides substantial overlapping coverage, the methodological consequences may be limited. If the inaccessible database is the principal index for the field, the problem is more consequential.

The relevant question is what literature becomes less discoverable when the database is removed from your search strategy.

04 · A Practical Example

Building a Search When Scopus Is Unavailable

Hypothetical Example

A graduate researcher without institutional Scopus access

Suppose a graduate student is reviewing research on digital feedback in higher education. Several published reviews in the field searched Scopus, but the student's university does not currently provide access.

Verify the access problem The researcher checks the university library's database directory and confirms with a librarian that Scopus is not available rather than assuming that failure to log in through the public Scopus website settles the question.
Identify what Scopus would contribute The researcher needs broad interdisciplinary discovery because the topic intersects education, educational technology, psychology, and computing. Citation searching would also be useful.
Search relevant accessible databases The researcher uses an education-focused database for disciplinary coverage and other accessible bibliographic resources appropriate to the question.
Add open multidisciplinary discovery Google Scholar, OpenAlex, or another suitable open scholarly search resource is used to broaden discovery and help trace citation relationships, with its limitations understood.
Use citation chasing References from key papers are checked for earlier studies, while citing-document tools help locate later research that did not use the same terminology.
Document the actual search The methods section reports the databases and supplementary sources actually searched. It does not claim that the strategy reproduced Scopus, and any material limitation resulting from unavailable coverage is acknowledged.

The goal is not to construct a fictional Scopus search from other tools. It is to build the strongest search that can reasonably answer the research question with the resources available.

Common Mistakes When a Research Database Is Unavailable

Misconception

I Cannot Use Scopus, So I Cannot Do the Literature Review

Lack of Scopus access does not automatically prevent a literature review. The consequences depend on your topic and methodology. Other bibliographic databases, specialized resources, open scholarly indexes, citation searching, and repositories may provide a defensible alternative strategy.

Misconception

Google Scholar Is Free, So It Can Replace Any Subscription Database

Google Scholar is highly useful, but databases differ in coverage, search controls, indexing, transparency, and reproducibility. It may supplement or sometimes serve particular search purposes well, but it should not be described as a universal one-for-one replacement.

Misconception

If I Can Search the Database, I Should Be Able to Download Every Article

Database searching and full-text access are separate. A bibliographic database may index publications that your institution does not subscribe to, while full text may sometimes be available through another publisher package, repository, open-access copy, or library service.

Misconception

I Should Include Only Studies I Can Access Easily

Convenience is generally not an appropriate eligibility criterion. Excluding otherwise eligible studies because the full text is initially difficult to obtain can introduce avoidable bias. Use legitimate access routes before treating a potentially eligible study as unobtainable.

Misconception

An Open Database Is Automatically Inferior to a Commercial Database

Payment model and research usefulness are different questions. Freely accessible resources such as PubMed, ERIC, OpenAlex, and others can be highly valuable. Their suitability should be judged from coverage, indexing, functionality, provenance, and fit with the research question.

Misconception

I Should Hide the Access Limitation So the Study Looks Stronger

A limitation does not disappear because it is omitted from the manuscript. If lack of access plausibly affected literature coverage, report the search sources actually used and explain the limitation proportionately. Transparent methods allow readers to judge the consequences themselves.

What to Do When an Important Database Is Unavailable

Treat the problem as a search-design constraint. Determine what is missing, then choose alternatives that address that particular gap as closely as reasonably possible.

A simple decision framework

If you have not checked institutional access carefully
Search your library's database directory, authenticate through the institution, and ask a librarian before concluding that the database is unavailable.
If a major multidisciplinary database is unavailable
Identify accessible multidisciplinary and subject-specific resources with relevant coverage, then supplement them with citation searching where useful.
If the missing resource is the major specialized database for your field
Take the limitation more seriously. Investigate alternative specialized resources, overlapping databases, repositories, and search methods that may capture literature otherwise at risk of being missed.
If you can find citations but cannot obtain full text
Check library subscriptions, repositories, open-access versions, document delivery, interlibrary loan, and other legitimate access routes.
If you are conducting a systematic or highly comprehensive review
Evaluate the effect of missing database access explicitly and document both the alternative strategy and any consequential limitation.
If the unavailable database has little unique relevance to your question
A well-justified combination of other resources may be sufficient without treating the missing subscription as a major methodological defect.

Your university's main search interface may also help identify material available through existing subscriptions, although a library discovery system should not automatically be treated as a search of every subscribed database.

Likewise, do not add random resources simply to compensate numerically for the missing database. If the question is specialized, a carefully chosen field-specific database may contribute more useful coverage than several broad but poorly matched search tools.

The methodological objective is defensible coverage, not subscription symmetry.

07 · A Quick Checklist

When You Cannot Access a Database You Wanted to Search

Before redesigning your search, check:
Have I confirmed through my university library that the database really is unavailable?
Am I dealing with lack of database access, lack of article full-text access, or both?
What specific coverage, indexing, citation, or search function was the unavailable database supposed to provide?
Which accessible subject-specific or multidisciplinary resources overlap meaningfully with that function?
Are relevant free resources such as PubMed, ERIC, Google Scholar, OpenAlex, Semantic Scholar, DOAJ, or CORE appropriate to this particular research question?
Have I tested alternative resources using several known relevant publications?
Have I supplemented database searching with reference-list and forward-citation searching where appropriate?
For inaccessible full texts, have I checked library services and legitimate open-access or repository copies?
If the missing database could materially affect coverage, have I documented that limitation transparently?

Frequently Asked Questions About Research Database Access

Can I do a literature review without Scopus?

Yes. Scopus can be valuable, but it is not universally required for every literature review. Select alternative databases and search resources according to your research question, disciplinary coverage, and review methodology, and disclose meaningful limitations when relevant.

Can I do a literature review without Web of Science?

Yes. As with Scopus, the consequences depend on what Web of Science would contribute to your particular topic and method. Relevant specialized databases, other multidisciplinary resources, and supplementary search techniques may provide suitable coverage.

What are free alternatives to Scopus and Web of Science?

There is no exact free substitute that should automatically be treated as equivalent. Depending on your purpose, Google Scholar, OpenAlex, Semantic Scholar, PubMed, ERIC, DOAJ, CORE, and other field-specific open resources may contribute useful discovery, metadata, citation, or open-access coverage. Choose according to function and subject coverage.

Is OpenAlex a replacement for Scopus?

OpenAlex provides broad open scholarly metadata, citation relationships, and search functionality, making it useful for many discovery and bibliometric tasks. Its coverage, data model, curation, and functionality differ from Scopus, however, so it should not simply be described as an identical free replacement.

Is Google Scholar enough if I cannot access subscription databases?

It may be highly useful, especially for discovery and citation chasing, but whether it is sufficient depends on the review. For systematic or comprehensive searching, consider additional subject databases, open scholarly resources, repositories, and other methods rather than assuming Google Scholar alone reproduces subscription-database coverage.

What if I can find an article but cannot access the PDF?

Check your university library's subscriptions and link resolver, search for legitimate repository or open-access versions, and consider document delivery or interlibrary loan. The absence of an immediately accessible PDF does not mean the publication should automatically be excluded.

Should I mention unavailable databases in my research limitations?

If lack of access plausibly reduced coverage of eligible literature, it should generally be reported proportionately. Describe what sources you actually searched and, where relevant, explain that an important database could not be searched and what alternative methods were used.

Can one accessible database sometimes be enough?

Possibly, depending on the research question, database coverage, and type of review. The decision should be based on evidence about whether one database can adequately support that particular search, not merely on which subscription your institution happens to provide.

Lack of Database Access Is a Constraint, Not Automatically a Dead End

The Bottom Line

If you cannot access a major research database, verify institutional access first, identify what that database would have contributed, and build a defensible alternative using appropriate accessible databases, open scholarly resources, citation searching, repositories, and library services.

No alternative should be assumed to reproduce another database perfectly. What matters is whether your overall search provides adequate coverage for the research question and methodology. When an unavailable database creates a meaningful gap, acknowledge it transparently rather than allowing subscription access to masquerade as a methodological decision.
